Preamble

Whereas we believe that a group of university students interested in the field of human resource management should organize for mutual benefit, we hereby establish a Collegiate Chapter which shall be known as the Society for Human Resource Management - Student Chapter at Shippensburg University.

 


Article I ~ Purpose

The purpose of the Shippensburg Collegiate Society for Human Resource Management - Student Chapter shall be:

·  To complement the human resource principles taught in the classroom.

·  To develop better understanding and appreciation of human resource issues.

·  To establish relationships with Human Resource Management professionals.

 


Article II ~ SHRM Officers

Section 1

The officers will be: President, Vice President, Vice President of Merit, Secretary, Treasurer, and Webmaster. Other officers may be added in other capacities as deemed necessary by the chapter. Positions could include, for example, Job Shadow Chair, Mentorship Chair, and Internship Chair.

Section 2

Chapter officers will be elected in April at the end of each academic year to serve for the following academic year.

Section 3

All elected officers will be chosen by secret ballot and nominations will be made from the floor. The candidates receiving a majority of all the votes cast shall be elected.

Section 4

The Chapter's Board of Directors will consist of the faculty advisor, officers, and committee chairpersons.

Section 5

To be eligible to hold an office, a member must have had one semester of active participation in the Club.


Article III ~ SHRM Officers’ Responsibilities 

President

1) Send out mass e-mails (excluding those for  monthly meetings - which are the responsibility of the meeting coordinator for that month).

2) Establish meeting agenda.

3) Network with other clubs and faculty.

 Contacts have been established with:

·         Dave Elliott – CVSHRM Chapter Advisor

·         Kim Wines – Former CVSHRM Chapter Advisor

·         Northwestern Mutual – (John Treacy and Melissa Slivka)

·         Marketing Club

·         Alpha Kappa Psi

·         Supply Chain Club

·         Investment Club

·         Dr. Bailey – Foundations Class

4) Promote assigned Events (see meeting checklist) - Make sure e-mails are sent to College of Business & posters are hung before scheduled meetings (posters for meetings shall be taken care of by meeting coordinators).

5) Make sure SHRM attends campus events:
  a. Ice cream social at the beginning of the year
  b. Activities fair at the beginning of the year
  c. Open houses throughout the semester

6) Attract new members

7) Establish SHRM Lunch meeting with Dr. Taylor and Officer meetings as necessary.

8) Act as liaison between the Dean and Assistant Dean of the College of Business, Human Resource Management professors, and the club members.

 

Vice President

1) Maintain the Member Directory.

2) Process membership applications.

3) Perform the duties of the absent President.

4) Oversee assigned committee – HR Games.

5) Make sure all SHRM Local applications are distributed and collected at the beginning of the year.

6) Keep a record of all HR internships (Company name and student).

Provide secretary with this information for the fall and end of the year newsletters.

 

Treasurer

1) Maintain checking account with Orrstown Bank.

2) Make expenditures.

3) Disclose the budget reports.

4) Collect dues and other voluntary funds payable to the club.

5) Apply for the annual budget during the spring semester for the upcoming year.

          - Obtain mailbox key and check mail periodically (Located in the CUB).

6) Oversee assigned committee – Fundraising.

 

 

 

Vice President of Merit

1) Keep track of the Chapter's activity – includes group activities as well as individual activities
           Each duty and activity performed, depending on the type and number of times it is repeated, receives merit points.

2) Keep daily logs of the activity in the merit book, and at the end of March, finalize and turn the book in to be judged.

3) Oversee assigned committee – Chapter Relations.

 

Secretary

1) Record minutes at each meeting.

2) Write thank you letters to speakers or others who have donated their services to the club.

3) Write the summary of club events for the College of Business Annual Report at the end of each academic year. One copy will go to the facility advisor, and one copy will go to the Dean's office.

4) Maintain club records.

5) Oversee assigned committee – Marketing and Publicity.

6) Check/respond to club email.

7) Help Newsletter Editor as necessary.

 

Newsletter Editor

Create monthly newsletter to be distributed at each regular meeting.

o    Assign articles to be written by self and by club officers.

o    Work with Dr. Taylor and President to finalize newsletter before printing.

 

Administrative Support

Help out officers/committees as needed in regards to current or upcoming projects.

 

Webmaster

  1) Regularly update website with meeting dates, important club and school events, new job/internship postings, etc.

o    Website typically requires modification about 2-4 times per week.

o     Basic knowledge of html and File Transfer Protocol (FTP) is preferred, but not essential.

HR Games Committee

       1) Present all information about HR Games to members and newsletter readers

       2) Coordinate practice times/methods for participants

       3) Strategically assign teams for participants

       4) Assemble new study cards as needed with the help of past participants

Chapter Relations Committee

1)       Maintain a graduated student membership database that lists contact information and job placement

2)       Pursue and organize community service projects and social events

3)       Keep members aware of PHR examination dates (via newsletter/announcements), and keep track of the names of SHRM members (past and present) who pass exam.

Marketing and Publicity Committee

1)       Maintain and update the bulletin board as needed.

2)       Create and post fliers throughout Grove about the club and/or club events and activities. (Fliers must be approved by the CUB and by Dr. Taylor.)

3)       Create and submit articles to The Slate about club and/or club events and activities. (Articles should be approved by those mentioned in it and by Dr. Taylor.)

Fundraising Committee

1)       Pursue and organize fund-raising events in conjunction with other club members and Dr. Taylor

2)       Shall attempt to recruit and maintain corporate sponsors for:

a.       Advertising in newsletters

b.       HR Games

All Officers

1) Attend monthly lunch meetings.

2) Attend monthly SHRM meetings.

3) Attend officer meetings as necessary.

4) Plan a monthly SHRM meeting. 

5) Attend SHRM workshops/speakers/functions.

6) Send all pertinent information to the Webmaster to update the website.

 


Article IV ~ Faculty Advisor Responsibilities 

Section 1

The Faculty Advisor will be responsible for the continuation of records and property of the Club. The Faculty Advisor must also be able to aid and advise the Club members on events and issues under consideration.

 

Section 2

In the event that the Club needs a Faculty Advisor, the Club officers will talk to potential faculty and bring the interested names to a vote before the members. A simple majority vote will decide the new Faculty Advisor.

 


 

Article V ~ Records 

The records of the Club consisting of the minutes book, membership records, financial records, scrapbook and other important records will be passed to the officers of each year.


 

Article VI ~ Bylaws and Amendments 

Section 1

This constitution, together with its bylaws, shall constitute the operating basis of the organization.

 

Section 2

The constitution may be amended by a 2/3 vote of the members present with proper notification and access to the revised constitution.

 

Section 3

Bylaws may be added, amended or ratified by a 2/3 vote of the members present with proper notification and understanding of the changes.

 


 

Article VII ~ Impeachment 

Section 1

Any member can initiate the impeachment process for any officer on the basis of neglect of office, incompetence, and/or mismanagement of funds.

 

Section 2

A 2/3 vote of members present shall approve impeachment proceedings.

 

Section 3

Officers not under the impeachment process will choose a Court of Impeachment, consisting of five members present and the Faculty Advisor who shall serve as a nonvoting member.

 

Section 4

After a period of seven days the Court of Impeachment will vote. A vote of at least 2/3 of the Court is necessary for an officer to be removed.

 

Section 5

Vacancies due to impeachment will be filled by the normal selection process.

 


 

Article VIII ~ Meetings 

Meetings will be conducted according to the Robert's rule of order.


 

Article IX ~ Bylaws 

1) To renew its affiliation, the Club will submit to the national association each year:

  a. Chapter Officer Report Form
  b. Copy of Chapter Plan
  c. Copy of Chapter Plan
  d. Changes in Constitution

2) The Club's dues shall be $5 per semester per member, paid to the Club Treasurer, who will issue membership cards to each member who paid.

3) The number, location, and times of meetings shall be determined by a 2/3 vote of the members. Notice of all such meetings shall be posted or sent to all members, not less than five days in advance of the date set for the meeting.

4) Dues for the Club shall be waived. Activities requiring funds will be split among the participating members.
